Absence Verification Process

Class Attendance Regulation

In accordance with Attendance Regulations outlined in REG 02.20.03, instructors at NC State are responsible for outlining attendance expectations in their syllabi and course materials. In the event that a student must miss class, students are expected to communicate with their instructor. The Absence Verification Process at NC State is designed to support instructors and students in the event of specific circumstances that warrant a student’s absence.

This process only applies to class absences. We are unable to provide academic accommodations or a change in course delivery. Students are expected to complete and and and all outstanding assignments as required for their course(s). 

The only mandated accommodations of an absence are for religious holy days (N.C.G.S. § 116-11(3a)) or when a student has a court order requiring attendance.

Anticipated and Unanticipated Absences

The University’s Attendance Regulation refers to absences in two broad categories: anticipated and unanticipated.

Anticipated Absences

include events as mandated court appearances, required days of religious observance, and participation in an official university function. Because these are known in advance, instructors are to be informed well ahead of their occurrence so arrangements can be made.

Unanticipated Absences

Include events as illness, the death of a family member, or a natural disaster. Once the event is known, communication with instructors as soon as possible is expected and in everyone’s best interest.

Submitting a Request

Make sure you take the following steps before submitting the Absence Verification Request Form.

  1. Contact your instructor first. Provide an overview of your concerns in order to determine the next steps. Most cases are resolved by providing an explanation and discussing how you can make up missed work or tests. Most instructors work directly with the student, and involvement by a staff member to verify the absence isn’t needed
  2. Read through the NC State Attendance Regulation. REG 02.20.03 provides information about the Absence Verification process. Contact staff within the Resiliency and Community Support unit in the Office of Student Life and Advocacy at absence-verification@ncsu.edu if you have questions.
  3. Make sure your request falls under a designated category. There are four types of absences eligible for review under the Absence Verification Process as outlined in Absence Categories.
  4. Review and process and relevant information.
    • Timeliness: Requests must be submitted within seven (7) days of a student’s return to class and must include appropriate documentation. Any request submitted after this timeline will be automatically denied.
    • Time Requested: If you plan to request more than two (2) weeks away, you may consider talking with your academic advisor about your options.
    • Supplemental Information: Upon your submission, you may be contacted to provide additional information. You will be required to do the time period established in that communication.
    • Decision: All decisions from the Absence Verification process are final. There is no appeal process or secondary review.
  5. Prepare your materials. Each request must be accompanied by appropriate documentation. Missing or insufficient documentation will result in a delay and potentially a denial of a student’s request. More information and specific examples can be found under Absence Documentation.
  6. Submit your request using the Absence Verification Request Form. Please note you will be required to log into the form using your Unity ID and password.

Absence Categories

As outlined in the Attendance Regulation, there are four categories of absences that can be reviewed and verified through this process:

  • Medical (surgeries and hospitalizations)
  • Death in the Family
  • Military Orders
  • Legal Obligations

For an absence not covered through the Absence Verification Process, students need to work with their instructor per the attendance regulation.

Religious Observances

If you plan to miss class for a religious holy day, you must submit a request through the Office of Equal Opportunity (OEO). If approved, you will receive a letter via email to give to your professor in order to be excused.

Absence Documentation

For your request to be reviewed, documentation is necessary. Please review the information below to learn more about appropriate forms of documentation to include in your submission.

Missing or Insufficient Documentation

Missing or insufficient documentation will result in a delay and potentially a denial of your request. Students are responsible for ensuring that any documents not in English are accurately translated.

Examples of Not Appropriate Documentation

  • Photos or videos of bodily functions, ailments, and symptoms
  • Photos or videos of thermometers, COVID tests, and/or medication
  • Photos or videos of self or family member(s) in the hospital
  • Photos or videos of funeral services
  • Photos or videos of bodily injuries or rashes

Falsification or Alteration of Documentation

Any Absence Verification Request that contains falsified or altered documents will result in an automatic denial and a referral to the Office of Student Conduct.

Frequently Asked Questions

Students

Is absence verification required by the university?

No, absence verification is not a required process. Your instructors have the final authority in excusing absences and arranging accommodations. 

How long does the absence verification process take?

The absence verification process usually takes between 1-3 business days to complete.

What happens if my absence is verified? How am I notified? How are my instructors notified?

If your absence is verified, we will send a notice to you and the instructors of your impacted classes with a verification of your absence. Please note that you are still expected to communicate with your instructors to arrange accommodations and complete any outstanding assignments. 

My absence was not verified. Why?

If your absence was not verified, it usually means that your request did not meet the guidelines of the Absence Verification process. This could mean any of the following:

  • Your reason for request fell outside the Absence Categories;
  • Your request was submitted more than one week after your return to class;
  • You did not provide appropriate Absence Documentation;
  • Your length of absence extends past two (2) weeks;
  • Your absence is related to a final examination, a religious observation, or is connected with the Vet School

The reason(s) for why a request is not verified is provided in writing to the requesting student.

What should I do if my absence is not verified?

Student should directly communicate with each of their instructors to determine the next best steps.

What should I do if my absence is longer than two weeks?

In most cases, we do not verify for absences longer than two weeks due to the significant time away from class. We recommend contacting your instructors first and then your academic advisor to explore alternative solutions. 

Will a verified absence allow me to make up missed assignments/exams and/or attend class remotely?

No, a verified absence only serves to inform your instructors that your absence has been approved per our guidelines. You are still responsible for arranging accommodations with your instructors and completing outstanding assignments. 

Why was my doctor’s note not accepted for a medical verification?

In most cases, we require additional information that clarifies if the reason for your absence qualifies as a significant medical event

I don’t have documentation just yet – what should I do?

Students may still submit their request as long it falls within the Absence Categories. However, the absence will not be formally verified until the appropriate documentation is received.

My professor is requiring me to get an absence verification but my reason does not fall inside a category. What should I do?

Resiliency and Community Support staff are always happy to speak with students about what to do in these situations. Students are encouraged to contact us at absence-verification@ncsu.edu for more information.

It’s been more than one week since I returned to class but I forgot to submit my absence verification request. Can I retroactively have my absence verified? 

In accordance with REG 02.20.03 – Attendance Regulation, verification requests received greater than one week from a student’s return to class will not be verified.

Will staff verify documentation I have provided?

Students are responsible for providing robust documentation that assists Resiliency and Community Support (RCS) staff with processing their request. RCS staff will contact a third-party to verify documentation only if there is a concern that the documentation is altered, forged, or falsified.

I would like to finish my course virtually. Can I do that?

The Absence Verification process only applies to class absences. We are unable to provide academic accommodations or a change in course delivery. Students must speak with their instructor(s) about these types of requests.

I had an absence verified through this process but my instructor will not accept it. What should I do?

The instructor’s attendance/absence policy as stated in the course syllabus provides details on how absences will be handled for that course. Absences are approved at the discretion of the instructor. 

I have a chronic condition and may need to miss class throughout the semester. Can I request an absence verification?

It depends. Students should discuss potential options with their instructor(s), along with speaking to staff from the Disability Resource Office to learn more about whether they would qualify for academic accommodations.

Is absence verification required by the university?

No, absence verification is not a required process. Instructors have the final authority in excusing absences and arranging accommodations. 

My student’s absence request was not verified. Why?

If a student’s absence is not verified, it usually means that the request did not meet the guidelines of the Absence Verification process. This could mean any of the following:

  • The reason for request fell outside the Absence Categories;
  • The request was submitted more than one week after the student’s return to class;
  • The student’s did not provide appropriate Absence Documentation;
  • The student’s length of absence extends past two (2) weeks;
  • The absence is related to a final examination, a religious observation, or is connected with the Vet School

The reason(s) for why a request is not verified is provided in writing to the requesting student.

I have instructed my students to use the absence verification process for any and all absences. Is this permitted?

Because this process is limited based on Absence Categories, not all requests will be verified, even if there is potentially a legitimate reason for one’s absence.

Example: A student contacts their instructor and informs them that they have COVID. Because COVID falls outside the scope of the Absence Verification process, instructors should exercise their own judgement on whether or not they will excuse the absence.

What do I do when my student’s absence request is not verified?

Instructors are only notified when an absence is verified, so students are responsible for communicating with impacted instructors if the absence is not verified. Regardless of whether or not an absence is verified, instructors have the final authority in excusing absences and arranging accommodations. Therefore, instructors should communication and enforce these expectations with their class(es).

A student is requesting an Incomplete (IN) for my course. Should they also seek an Absence Verification?

The Absence Verification process is separate from a student requesting to take an Incomplete in a course. Therefore, students should speak with an instructor regarding an Incomplete (IN) grade and following the appropriate process.
